This data protection statement refers exclusively to the data collected as part of the online job application process and includes information on the processing of the candidate's personal data collected during this process.

3. Processing of Personal Data in the Job Application Process

Personal data refers to information about the personal or material conditions of an identified or identifiable natural person, such as name, address, phone number, and date of birth, as well as data about their education, etc., which can be assigned to a specific person with reasonable effort. Any information that does not serve to directly or indirectly determine a person’s identity is not considered personal data.

4. Principles and Purposes of Personal Data Processing in Relation to Job Applications

By submitting an application electronically, either via email or through our web form, the candidate's personal data is collected and processed for the purpose of managing and handling the selection process and applying the relevant pre-contractual measures.

By submitting an application through our recruitment page, the candidate explicitly indicates their interest in working with us. The personal data provided in this context will be used and stored exclusively for job search and application purposes.

In particular, we will collect the following data:

● Full name
● Email address
● Phone number
● LinkedIn profile (optional)
● Country of residence (optional)

During the selection process, the candidate may also attach relevant documents, such as a cover letter, resume, and qualifications, which may also contain personal data such as date of birth, address, etc.

Only authorized employees from the HR department or employees involved in the selection process will have access to the candidate's data.

The storage of personal data is carried out exclusively for the purpose of filling the vacancy for which the application was submitted.

The candidate’s data will be retained for a period of 365 days after the selection process has concluded, in order to comply with legal obligations or defend against claims. After this period, we are required to delete or anonymize the data. Thereafter, the data will only be available as metadata without direct personal reference for statistical purposes (e.g., percentage of male and female applicants, number of applications per period, etc.).

Additionally, we reserve the right to store the candidate’s data in our talent pool for 365 days after the selection process has concluded, in order to identify any other positions that may be of interest. This also applies, for example, to applications for training or internship positions. By accepting the privacy policy, the candidate expressly consents to the possible retention of their data for a longer period and their inclusion in our talent pool.

If, during the selection process, the candidate receives and accepts a job offer, the personal data collected during the selection process will be retained for at least the duration of the employment relationship.

5. Transfer of Data to Third Parties

The data provided as part of the application is transmitted via TLS encryption and stored in a database. This database is operated by Personio GmbH, which distributes candidate and human resource management software (https://www.personio.com/legal-notice/). In this context, Personio acts as our data processor in accordance with Article 28 of the GDPR. The basis for processing is the execution of the Data Processing Agreement (DPA) concluded between us, as data controllers, and Personio.

6. Data Subject Rights

To the extent that we, as the responsible entity, process personal data, the candidate, as a data subject, has certain rights under Chapter III of the GDPR, depending on the legal basis and purpose of the processing. These include the right of access (Article 15 GDPR), the right to rectification (Article 16 GDPR), the right to erasure (Article 17 GDPR), the right to restriction of processing (Article 18 GDPR), the right to data portability (Article 20 GDPR), and the right to object (Article 21 GDPR). Whenever the processing of personal data is based on consent, the candidate has the right to withdraw that consent at any time under Article 7(3) of the GDPR.

To exercise their rights as a data subject regarding the processing of data during the online job application process, the candidate must contact the Data Protection Officer (see Section 2).

7. Final Provisions

We reserve the right to modify this data protection statement at any time in order to comply with legal requirements or to reflect changes made to the job application process or other similar processes. In such a case, if the candidate revisits this recruitment page or submits an application, the new data protection statement will apply.
